Job description

Job title: Technical Services Coordinator

Main purpose:
  • To co-ordinate activities across all areas of technical services, assisting the team to effectively manage hard services delivery on the account.
  • To play a key role in the smooth operation and administration of the hard services contract.
  • Support the Technical services manager to build relationships with hard services suppliers, and maintain a regular schedule of meetings and performance reviews and actions
  • To be responsible for ensuring maintenance activities are scheduled in advance and the CAFM system is up to date, building good relationships and communication with the hard services suppliers.
  • Support the Technical services manager to ensure that H&S policy, safe systems of work and quality management systems are implemented and administered across the account.
  • Be a point of contact for the FM operations team to provide guidance on the current position of planned and reactive tasks, ensuring clear communication between FM and technical functions.
  • Ensure that a high standard of service delivery is maintained at all times by our client and the supply chain, when undertaking planned and reactive work.
  • Develop strong relationships with internal stakeholders in all areas of technical, operational and commercial management.

General responsibilities:
  • Coordinate the supply chain partners to ensure the delivery of maintenance and reactive work.
  • Review and accept the submission of contractor RAMs for planned and reactive work.
  • Assist in the planning and execution of CAFM system alterations and improvements.
  • Assist with collecting pricing from the supply chain for the addition of new services to the contract.
  • Maintain accurate records of maintenance activities, ensuring the CAFM system is being updated and administered correctly by the supply chain.
  • Support the monitoring and auditing of service providers to ensure compliance with quality management systems.
  • Assist with compliance and risk management, working with the team across all areas of statutory compliance to monitor and manage risk.
  • Assist the Technical services manager to deliver planned and reactive works, ensuring adherence to relevant technical standards as well as SFG20 Guidance for the maintenance regime.
  • Oversee document management and submission in the Concept evolution CAFM system.
  • Undertake the review of certification, job sheets, financials and final paperwork for planned and reactive tasks.
  • Assist with the review of actions from statutory inspections such as risk assessments and surveys.
  • Collate information for weekly and monthly reporting, to be reviewed by the TSM and submitted to the FM operations team. .


Experience:
  • 3 years’ experience in Facilities Management or Building Services Engineering, delivering hard services.
  • A track record of administering and co-ordinating planned and reactive tasks in FM.
  • Experienced in the review of statutory compliance certification, maintaining records and administering audit actions via physical logbooks and CAFM.
  • Experience in the use of CAFM systems to administer tasks, review planners and make alterations accordingly.
  • Experience of working with third party suppliers and stakeholder management, supporting the regular auditing of work and performance management meetings.
  • Experience with financial elements of service delivery, such as generating purchase orders and gathering costs and information for pricing.
  • Experience working across a diverse range of static and mobile buildings.

Desirable:
  • Experience working with Local Authorities as a Service provider or client side.

Candidates requirements:

Essential:
  • Good knowledge of FM compliance and building services maintenance regimes.
  • A good understanding of compliance in FM, and statutory regulations.
  • Commercially aware - knowledge of financial terms and principles and is able to forecast and prepare budgets.
  • Able to win the trust and respect of the client through exceptional job performance.
  • Takes responsibility for own work and others to ensure that deadlines are met.
  • Flexible – able to adapt to changing working environment.
  • Able to deliver results; strong people and performance management skills; able to evaluate options, develop solutions and make effective decisions.
  • Strong communicator and influencer.
  • Proven problem-solving skills with the capacity to devise and implement innovative solutions.
  • Advanced use of Microsoft office tools to sort and interrogate data.
  • Familiarity with CAFM systems such as Concept evolution and the administration of tasks within CAFM.
  • Good IT Skills – advanced user of Excel, Power Bi and CAFM and the ability to build reports and presentations.


Desired:
 
  • Professional qualification in a recognised and relevant industry- Engineering or FM
  • Recognised HSE qualification (IOSH, NEBOSH)
  • Member of relevant professional institution such as IWFM, CIBSE, IET, IIRSM, IOSH.
