Job description
I am currently seeking a Facilities Coordinator to join our client's corporate site in West London near Baker Street. This contract position will run until the end of March, requiring an in-office presence with some flexibility for a hybrid approach. The role involves supporting the FM Manager, overseeing facilities (Catering,Cleaning and M&E contractors) as well as ensuring the smooth run of the offices.
The ideal candidate will have corporate FM experience, although we are also open to considering administrators or office managers with exposure to the FM environment. Temporary and Fixed-Term Contract options are available, with working hours from 8:30am-5pm or 9am-5:30 pm.

- Assisting with allocation of new lockers and communicating the same.
- Setting up and testing the clients floors various AV/FM/Catering operations.
- Raise POs as required
- Incumbent Supplier Oversight: The Facility Coordinator will oversee the performance of incumbent suppliers, ensuring they meet agreed-upon service levels.
- Regular assessments and feedback sessions will be conducted to maintain service excellence and promptly address any deviations.
- Day-to-Day Issue Management: Our Facility Coordinator will be the central point of contact for all facility-related issues. They will proactively identify and resolve problems, ensuring minimal disruption to your operations. Immediate response to any concerns will be a top priority.
- Archiving Requests and Locker Management
- The Facility Coordinator will handle archiving requests, ensuring documents are securely stored and easily accessible when needed. Additionally, they will manage locker allocations and ensure a fair and organised system for employees.
- Liaising with Security: Our Facility Coordinator will maintain constant communication with the security team, addressing security-related concerns, coordinating access protocols, and ensuring a safe working environment for all employees.
- Daily Interactions: Our Facility Coordinator will engage in daily interactions with your designated representatives to address any immediate concerns and ensure the smooth flow of operations. Regular catch-up meetings will be held to discuss ongoing activities and upcoming plans.
- Monthly Performance Review Meetings: We propose monthly performance review meetings where we will present detailed reports on service delivery, supplier performance, and issue resolution. These meetings will provide a platform to address feedback and implement improvements promptly.
- Supplier Management: We will record the Service Level Agreements (SLAs) currently in place with all existing suppliers, clearly redefining expectations regarding performance, response times, and issue resolution. Our Facility Coordinator will actively manage these agreements, ensuring that suppliers adhere to the agreed-upon standards.
- Site Attendance and Potential Visits: Our Facility
- Coordinator will be physically present at the site during regular business hours to ensure immediate attention to any issues.
